VetNav ("we", "us") provides software that helps accredited agencies and veterans manage VA benefits claims. This policy explains what we collect, how we use it, and the choices you have. VetNav is not affiliated with or endorsed by the U.S. Department of Veterans Affairs.
Information we collect
- Account information — name, email, role, and, for agencies, accreditation details.
- VA benefits data — claims, appeals, decision letters, and health records obtained from VA systems only with your authorization (an accepted power of attorney for agency use, or your own sign-in for the veteran portal).
- Documents you upload to support a claim.
- Usage data — logs and audit records of actions taken in the product.
How we use information
To provide and secure the service: managing claims and appeals, generating AI explanations of VA correspondence, tracking deadlines, and maintaining the audit trail required for accountable VA access. We do not sell your personal information.
VA data and consent
No agency-initiated request to VA systems is made without an accepted power of attorney on record for that client. Veterans reach their own data only after signing in and authorizing the connection. You can review and withdraw authorization; withdrawing it stops further access.
How we share information
We share information with service providers who process it on our behalf (for example, cloud hosting and AI processing) under contract, and with VA systems as needed to carry out your authorized requests. We may disclose information where required by law.
Security
Access is role-based and every VA access and authorization decision is logged. VA OAuth and client-credential tokens are stored envelope-encrypted. No system is perfectly secure, but we work to protect your information with appropriate technical and organizational measures.
Data retention
We retain information for as long as needed to provide the service and to meet legal, accountability, and recordkeeping obligations, then delete or de-identify it.
Your choices
You may request access to, correction of, or deletion of your personal information, and you may withdraw VA authorization at any time, subject to legal limits. Contact us to make a request.
Changes
We may update this policy; we'll revise the "last updated" date above when we do.
